Position Title: GMP Senior Supervisor
Location: Client Site
Reporting to: Facilities GMP Lead
Overall Purpose of the Job
Facilities GMP Senior Supervisor will lead and manage the day-to-day
operations in GMP Buildings ensuring that all activities are carried out in
accordance with relevant SOP’s. Liaise closely and professionally with the
Facilities GMP Lead in dealing with day-to-day operational matters.
Main duties and responsibilities
- Review and incentivize master GMP cleaning schedule (Matrix) including
adherence to recovery cleanings or any activities that may interfere with
the Matrix.
- To monitor hours required for maintenance and cleaning of associated
GMP buildings. Stay alert and proactive, propose any innovative or smart
ideas how to improve day-to day activities, how to do things better
around.
- Interact Operational GMP issues with Facilities GMP Lead ensuring that
all activities are managed within the budget. All day-to -day issues must
be reported to Facilities GMP Lead immediately to ensure that issues have
been escalated to the relevant departments and right decision taken to
address the issues.
- To attend meetings related to GMP activities such as FORM meetings, EM
updates and etc.
- To cover agreed Facilities GMP Lead responsibilities in his absence.
- Close communication with GMP Shift Supervisors including but not limited
to any day-to-day operational issues, also providing feedback from all
parties.
- To monitor, address and deal with issues related to GMP staff
underperformance (adherence to break time, attendance, uniform policy
and etc.) to Shift Supervisor and Facilities GMP Lead
- To oversee that GMP Cleaning Staff are following Standard Operation
Procedures (SOP’s)
- Carry out monthly /quarterly reviews of the logbooks ensuring that GDP
practice has been adhered
- To ensure that GMP Cleaning staff are following Safety procedures and
familiar with Risk Assessment method Statement (RAMS), Safe Plan of
Action (SPA) and Personal Protective Equipment (PPE) requirements for
specific tasks
- To oversee training records and to encourage GMP personnel to keep
training records up to date
- Monitor and Support GMP Shift supervisors and team leads with any HR
issues. Ensure that assistance is provided when needed.
- To ensure that workload is fairly spread across the team and well-being
is accomplished. To assist Facilities GMP Lead in the supervision of the
cleaning service staff, including the allocation of workloads, monitoring
progress and performance, determining work priorities, paying particular
attention to productivity and quality control.
- To ensure that IT Tablets (owned by Company to access SOPs) are
maintained in respectable manner.
- Manage equipment list by ensuring that all equipment has been serviced
and repaired in timely manner. Oversee requirement of equipment
replacement and communicate it to GMP lead in a timely manner.
- To oversee and ensure that sufficient amount of materials and cleaning
chemicals is available in storage.
- To assist in the undertaking of site cleaning audits
- To control and monitor the correct use of appropriate cleaning materials,
to ensure all GMP Staff aware of Material Safety Data Sheet (MSDS) and
Control of Substances Hazardous to Health (COSSH)
- To arrange/carry out the induction and ‘on the job’ training of the GMP
cleaning operatives in accordance with relevant company and client
practices
- To organize the provision of relief/ holiday cover for GMP cleaning staff
as required in conjunction with the Facilities GMP Lead
- To authorize, allocate, and record in conjunction with the Facilities GMP
Lead GMP cleaning staff absences
- Manage, develop, and mentor all shift supervisors and team leads
- Engage the Facilities GMP Shift Supervisors to deliver cleaning schedule
requirements while maintaining a culture of compliance, safety and
innovation
- Identify areas and procedures in need of GMP improvement and
implement corrective actions and processes to achieve sustained results
- Maintain a safe workplace that complies with Company policies and
standards
- Maintain a safe work environment for self and employees
Required Competencies
- Schedule planning
- Strong communication skills.
- To act as a designee for management, organizational, time management
and negotiating abilities
- Good organizational skills, able to work within defined guidelines,
prioritize and work effectively.
- Excellent computer literacy essential for administrative purposes
- Experience of using cleaning equipment
- Excellent communication skills in English (ability to speak, read
comprehend and write)
- Extensive experience in dealing with people and services requiring solid.
- Ability to motivate workers on site especially when the work is
challenging, and the pressure is high on workers to deliver.
Required Qualification(s) and
Desired Experience
- A minimum of 3 years’ experience working in GMP environment
- At least 1 years of business management experience
- Knowledge/working within the GMP cleaning function essential
- Garda Vetting would be beneficial.
- Financial and budgetary experience essential
- Project management experience essential
- Current Good x Practice (cGxP) Knowledge
- Good Work Record
- Good working knowledge of Microsoft Office software
