Purpose of the Job
Reporting to the Associate Director of Engineering, the Engineering Admin Support plays a pivotal
role in ensuring the accurate maintenance records of asset data and information is documented and
recorded onto the CAFM/Planned Preventative Maintenance (PPM) systems. The role also includes
active liaison with Operations, including the Helpdesk team, and proactive engagement with vendors.
Supporting Engineers with Finance management in Purchase Orders/Invoice management and overall
administrative support.
Main duties and responsibilities
The roles and responsibilities will be varied and will include, but not be limited to:
1. Maintenance of PPM plans and creation of work orders.
2. Interaction with Site Delivery Teams and Contractors for information queries and requests.
3. Taking reasonable care of your own and others' health and safety and those who may be affected in the day-to-day delivery of this role.
4. Taking necessary care to properly protect the confidentiality, integrity, and availability of corporate information
from unauthorized disclosure, modification, or destruction. Never knowingly placing client’s information or
information systems at risk.
5. Embracing a collaborative learning culture with your team and the wider business.
6. Act as the main point of contact for raising purchase orders – reactive and planned for Engineers.
7. Coordinate Sub Contractor maintenance visits in accordance to the PPM Planner.
8. Reporting any issues or delays with PPM’s to Engineering Team.
9. Review and approve Subcontractor invoices and verify work done (Reports/Dockets).
10. Issue PPM Recommendations to relevant Operational Leads/Engineers.
11. Ensure CAFM is up to date and accurate.
12. Ability to work under pressure to tight deadlines.

Skills and Experience
- Competent processing large volumes of data
following predefined processes.
- Good general IT skills using MS office
applications.
- Good communicator and interpersonal skills
- Good verbal and written English
- Ability to prioritise work load
- Solution minded
- Team player but also self-directed
- Proven and practical experience of managing
data and information activities.
- Experience in an Administrative role (2+ years).
Working Pattern
Monday to Friday 9:30 am to 2:30 pm.
