    Overall Purpose of the Job

    To take the lead in providing Facilities Support on the client premises. Reporting to the line manager you will assist and take ownership of including but not limited to:

    • PPM’s hard and soft services including scheduling
    • Reactive support for hard and soft services including scheduling 
    • Financial control
    • Administrative support
    • Health and Safety 
    • Energy management 
    • Projects including - move management, space planning, logistics, energy management, Enabling the client business to carry out their business activities in a safe, comfortable, productive and cost-effective environment. 

    Main Duties and Responsibilities 

    • Property & Facility related inspections. 
    • Insuring expenditure does not exceed budget.
    • Liaising with Local Authority if necessary. 
    • Liaising with client and attend client meetings.
    • Ensure that all contracts are in place with the subcontractors. This is to include an appropriate SLA and Contract Summary Agreement. 
    • Monitoring of all subcontractors and their associated services in conducting their works in a safe and comprehensive manner. 
    • Monitoring all PPM and Reactive work that may impact on the business and liaising with the business to ensure the PPM can be completed.
    • Formal Reporting to clients, preparation of monthly reports along with annual report submissions whilst meeting deadlines. 
    • Efficiently input facilities related data on the CAFM system on a daily, weekly and monthly basis to comply with KPI’s. Ensure compliance with other non CAFM KPI’s also.
    • Monitoring, managing and reporting on all expenditure.
    • Providing timely reports to the Client & Apleona management that will ensure they are updated on all reactive / projects being conducted on site. 
    • Raising PO’s and approving invoices. 
    • Manage site based team ensuring the SOP’s for all Apleona staff onsite is up to date and each team member understands their duties.

    • EH&S policies and procedures onsite including Permit to work, fire warden duties and first aid responder if requested by the client. 
    • Maintain auditable records for all in-house and outsourced PPM/reactive activities and ensure all documents are filed in an orderly fashion / on the CAFM system. 
    • Performs any other related duties / reasonable requests as assigned by management.

    • Excellent organisational skills and attention to detail. 
    • Ability to perform well in a fast-paced environment.

    Qualifications and Experience 

    • A minimum of 2 years of experience in a similar position.
    • Financial recording and reporting experience 
    • Excellent Administration skills, Microsoft Office

    Working Pattern

    52 Mon-Fri 0800-1700, 40 hours per week
