We are looking for a Senior Hard Services Coordinator to join our team in Dublin City Centre
Working pattern: Monday-Friday 9AM-5PM
Main Duties and Responsibilities:
To provide administrative support for Facilities Engineering Team and to support Senior Facilities Engineer and the team with the assigned tasks
- Prepare Client Quotes for follow up works
- Ordering consumables
- Report on outstanding Work Order and PPMs, follow-up with the team for updates
- Scheduling PPMs in line with Azolla and Budget
- Raising POs and processing invoices
- Uploading RAMS for approval
- Meeting contractors and issuing Permits To Work
- Collation of appropriate data for monthly client reporting
- Organize and maintain site specific files in line with Client Shared folder system
- Raise Purchase Orders for approval by Engineering Team
- Preparation of Client quotations for additional related works
- Draft Supplier Level Agreements for approval by the Facilities Manager
- Coordinate Sub contractor maintenance visits with Supplier, Engineer and Client requirements
- Take on ad hoc projects and tasks, as and when required
- Managing calendars for support cover
- Management of uniforms and work wear
- Other Ad Hoc tasks to support Facilities Team • Flexibility and availability to work overtime
- Goal Zero – Embed EHS as a way of doing business. Enforce a zero tolerance to unsafe working practices to target a goal zero accident rate.
Requirements
- Experience of communicating with Clients/Customers and providing excellent customer service
- High level of computer literacy including an excellent working knowledge of MS Office software (Word, Excel, Powerpoint and Outlook)
- Ability to work with Computerised Maintenance Management System
- Excellent written and spoken English
- Minimum 3 years experience in an administration role in a Facility Management environment
