We are currently seeking a Soft Services Supervisor to join our team in a pharmaceutical setting in Co. Longford.
Shift Pattern Monday - Thursday 08:00 - 16:30 Friday 08:00 -15:30
Main duties and responsibilities
- Supervise, mentor and train Soft Services teams (Cleaning, Waste and Security), including work scheduling/rotas, workload allocation, monitoring performance and supporting performance reviews.
- Ensure smooth day-to-day running of Soft Services in line with the Site Service Level Agreement and Services Specification, escalating issues to the Soft Services Lead as required.
- Liaise closely and professionally with Client/Client representatives on operational matters and ensure a high standard of customer service is maintained.
- Investigate and monitor quality standards across Cleaning, Waste and Security; support/undertake audits and implement corrective actions.
- Ensure staff follow SOPs, safe systems of work and required procedures, including RAMS, SPAs and PPE requirements for tasks.
- Ensure documentation and logbooks are completed correctly and to GDP standard where applicable; maintain accurate service records and reports.
- Cleaning: Control and monitor correct use of cleaning materials (MSDS/COSHH awareness), equipment use, stock checks, and arrange repair/replacement of equipment as needed.
- Coordinate daily waste activities including collection, sorting, baling/compacting and disposal of waste streams; ensure compliance with relevant H&S and environmental requirements;
- Maintain waste records and support client reporting.
- Waste equipment: Oversee safe operation and basic maintenance of waste machinery (e.g., balers/compactors/forklifts) and report defects promptly.
- Security: Manage day-to-day security operations including access control, CCTV/alarm response in line with procedures, patrol completion, visitor/contractor movements and incident reporting.
- Organise induction and on-the-job training for staff in line with Apleona and client practices; maintain training records and ensure they remain up to date.
- Support recruitment activities with the Soft Services Lead/HR (and Contract Manager where required).
- Organise relief/holiday cover and authorise/record absences in conjunction with the Soft Services Lead.
- Maintain stock levels of consumables (e.g., bags, baling wire, PPE, cleaning materials) and manage ordering processes.
- Promote a proactive safety culture and identify opportunities for continuous improvement in service delivery and sustainability/recycling performance.
- Flexibility required, including ability to work day/night shifts as needed.
- Support the Soft Services Lead with operational reviews related to core functions (waste, cleaning and security), to assist in improving contract performance and service delivery.
- Perform ad hoc duties and other related tasks as assigned by the Soft Services Lead/authorised manager.
Qualifications and experience
- Proven supervisory/leadership experience in a facilities management environment covering two or more of: Cleaning, Waste, Security.
- GMP experience / pharmaceutical background desirable.
- Strong commitment to Health & Safety with ability to enforce safety and compliance standards.
- Strong computer literacy for administrative duties and reporting (Microsoft Office: Outlook/Excel/Word/PowerPoint).
- Excellent communication and organisational skills; able to prioritise tasks in a dynamic environment and treat staff fairly and consistently.
- Valid PSA licence (preferred)
- Full clean driving licence.
- Forklift licence/experience advantageous.
