Facilities Technical Support Administrator
Location – Paddington, W2 6BD
Hours – Monday to Friday, 8am to 5pm
The purpose of the Facilities Technical Support Administrator is to assist Paddington Central Team. The Facilities Technical Support Administrator will be responsible for supporting the Technical Services team in the management of the Engineering Services at Paddington Estates in both clerical and administrative support.
The Facilities Technical Support Administrator is required to be able to work independently, be self-motivated and proactive, whilst maintaining a high customer service standard and should be able to demonstrate excellent organisational skills and maintain regular communication between the Client technical team(s), M&E team(s), and customers. Directly employed by Apleona the role is seconded to and line managed by the British Land team.

- Experience in a similar environment
- Good attention to details
- Experience in raising purchase orders
- Understanding of Heath and safety Legislation
- Ambitious and Quick learner
- Some knowledge of CAFM systems
- Experience in coordinating specialist sub-contractor visits
Some of the Key Responsibilities of the role will include:
- Support with compliance with all current legislation and recommended standards, carry out logbook audits.
- Support Technical Services and Property Management with the Permit to Work System and check method statements where appropriate. Liaise with Property Management and Occupiers regarding operational and Engineering matters such as plant shutdowns and work impacting on Occupiers operation.
- Provide day-to-day Engineering and operational support to Technical Services Managers, Property Managers and Occupiers.
- To monitor and file utility consumption data to relevant folders and coordinate system analytics actions with site M&E team.
- Prepare reports and develop plans for reduction in utility use. To oversee the consumption of utilities to ensure that consumption targets are met and where this is not possible, early warning is given and the reasons are fully understood.
- Assist in the management of M&E demised contracts, arranging occupiers access and coordinate subcontractor works.
- Review CAFM system/ helpdesk daily, ensuring any actions required are delegated to the relevant department.
- Provide Client with a weekly overview of outstanding Reactive tasks including explanation of why task is outstanding and a proposal for completion.
- Ensure monthly M&E reports, minutes and KPIS are up to date and filed in relevant folders.
- Support in lift contract management, compile ongoing issues and chase lift company on updates on faults/ongoing works.
- Ensure all engineering folders are organised and up to date.
- Support TSMs with day-to-day admin and any other ad hoc duties as required to meet the needs of the business.
