At Apleona, we are currently recruiting for a Post Room Clerk to be based at our site in Dublin 4.
Working Pattern: Monday to Friday, 9am - 5pm
Main duties and responsibilities
- Receive, sort, log, and distribute incoming mail and courier deliveries accurately and in a timely manner.
- Prepare, frank, and dispatch outgoing mail and parcels, ensuring correct postage and documentation.
- Liaise with postal services and courier providers regarding collections, deliveries, and issues.
- Maintain mailroom equipment (e.g. franking machines, scanners) and report faults promptly.
- Handle confidential and sensitive mail in line with company policies and data protection requirements.
- Set up and break down meeting rooms, including furniture moves, equipment placement, and room resets.
- Deliver items, documents, and equipment throughout the building(s) as required.
- Assist with office moves, reconfigurations, and minor relocations.
- Support events, meetings, and internal functions with logistical assistance.
- Conduct routine checks of common areas to ensure cleanliness, order, and safety standards are maintained.
- Assist with stock control and replenishment of office supplies.
- Report maintenance issues, hazards, or security concerns to the appropriate team.
- Support contractors and visitors with access, directions, and basic assistance.
- Follow all health and safety procedures, including manual handling guidelines.
- Always maintain a safe and tidy working environment.
- Comply with company policies, procedures, and confidentiality requirements.
- Manual handling and light lifting required.
- May require flexibility in working hours to support business needs.
- Timely and accurate mail distribution.
- Quality and reliability of porterage and facilities support.
- Adherence to health, safety, and confidentiality standards.
Qualifications and experience
- Previous experience in a porter, mailroom, facilities, or similar role desirable but not essential.
- Basic IT literacy (email, tracking systems) an advantage.
- Manual handling training beneficial (or willingness to undertake training).
- Strong organisational skills and attention to detail.
- Reliable, punctual, and able to manage a varied workload.
- Good communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Practical, hands-on approach with a strong service mindset
