    Overall Purpose of the Job

    Accurately and efficiently co-ordinate and manage the onsite facility in addition to holding the commercial and responsibility for a site as well as being responsible for the line management and oversight of other Apleona sites and contracts. The successful candidate will be responsible for co-ordinating the day to day operation on the ground, including the planned preventative maintenance, security, caretaking, and cleaning services on a site and manage and oversee other Apleona contracts. The role will also be responsible for liaising closely with clients on a regular basis.

     

    Main duties and responsibilities

    • Manage all aspects of the contract under their control. Ensuring the PPM plan is executed in accordance with the contract and other services are completed on time and within budget
    • Accountable for the management and upkeep of the contract budget including attendance at commercial meetings for site and for other remote sites
    • Line Management and regular liaison with Facilities Managers on remote sites
    • Promote and deliver the aims of the company to meet or exceed the quality levels and customer support
    • Ensure that all maintenance is carried out in accordance with legislation and Good Industry practice
    • Ensure that the site is following the company quality measures and procedures in conjunction with the current policies and procedures. Monitor and oversee on remote sites to ensure compliance.
    • Manage and maintain cost control and review costs. Ensure all costs are within budget
    • Ensure the Contract Service Level Agreements are achieved
    •  Manage the Utility Bill function for the contract including timely administration of invoicing and liaising with the tenants / clients on usage and costs
    • Manage and review the WIP and Aged Debt reports for the site ensuring both are cleared where possible and monitor and oversee WIP and Debt on remote sites
    • Assist in ensuring all training requirements are met where applicable
    •  Prepare monthly report for all services covered under contract
    •  Day to Day liaison with on site tenants providing guidance to each client & tenant as and when required and oversight and periodic liaison with tenants and clients on remote sites
    • Management and overseeing of Projects and Additional Works arranged by either Apleona or the OPW / Tenants
    • Explore options and drive for Site Improvements and Additional Projects on all sites
    •  Promote & Encourage Environmental & Waste Management policies
    •  Management of contractual documents and KPIs
    •  Ensure safe systems of work are in place for all operations
    •  Suggest and implement improvements and innovations in service delivery
    •  Ensure Client satisfaction and attend regular meetings and minute, record and execute action items
    •  Assist in the effective sourcing and utilisation of materials and subcontractors
    •  Oversee and co-ordinate the security, cleaning and caretaking departments on a day to day basis. This includes general co-ordination duties of staff in each department.
    • Monitor and oversee Facilities Management service delivery on remote sites.
    •  Be aware and ensure consistent compliance with company’s Health, Safety & Quality policies and procedures
    •  Monitor all PPM and Reactive work that may impact on the business and liaise with the business to ensure the PPM can be completed
    • Ensure Service Inspections and Statutory Inspections are carried out in detail, documented and executed in a timely and efficient manner and any anomalies/issues are actioned promptly
    • Ensures the timely execution and processing of all Work Orders and PO’s within the permitted parameters
    •  Ensure Invoicing of monthly fees and additional works in a timely manner
    •  Ensures the smooth running of the site adhering to Site Service Level Agreement
    •  Co-ordinate all contractors that attend site and ensure all the relevant documentation is in place prior to the work commencing
    • Take on ad-hoc duties as requested
    •  Assist and support with the company security function if requested

     

    Qualifications and Experience

    • Experience in Site Management
    • Strong Financial and budgetary experience
    • Highly Computer Literate
    • Project management experience
    • Man management experience
    • Must possess a dynamic approach to achieving continuous improvement
    • Excellent people management and communication skills
    • Ability to make on the spot decisions
    • Must be self-motivated and able to motivate others

    Working Pattern

    Monday to Friday, from 9 AM to 5 PM.
